1. Booking & Payment

• Booth bookings are confirmed only after full payment and written confirmation from the organiser.
• Vendors must provide accurate business details and declare the products they intend to sell.
• Fees cover only the package and dates stated in the booking confirmation. Unused dates cannot be carried forward.

2. Booth Facilities

Each vendor spot includes 2 tables (6ft × 3ft each), 1 tablecloth and 2 chairs. Electricity, additional furniture and other equipment are subject to availability, prior approval and any agreed charges.

3. Booth Allocation

• The organiser assigns booth locations based on the event layout and operational requirements.
• Vendors must keep displays, stock and signage within their allocated space.
• Sharing, transferring or subletting a booth requires prior written approval.

4. Setup & Operating Hours

• Vendors must complete setup before 12pm and operate until 8pm on each booked day.
• Setup, loading and dismantling instructions will be provided before the event.
• Early packing or leaving a booth unattended requires the organiser’s approval.
• Vendors must keep walkways, neighbouring booths and emergency exits clear.

5. Products & Sales

• Only products approved during registration may be sold.
• Counterfeit, stolen, unlawful, unsafe or age-inappropriate goods are prohibited.
• Vendors are responsible for product authenticity, accurate descriptions, clear pricing and any applicable approvals.
• Vendors must handle their own payments, receipts, customer enquiries, returns and product disputes.

6. Cleanliness & Conduct

• Vendors must keep their booths tidy and remove rubbish after each event day.
• Displays must be stable and safe. Open flames, smoking and unauthorised electrical connections are prohibited.
• Excessive noise, harassment and disruptive behaviour are not permitted.
• Vendors must follow reasonable organiser and venue instructions.

7. Stock, Security & Damage

• Vendors are responsible for supervising and securing their stock, money and belongings.
• Overnight storage is permitted only with written confirmation. Vendors should remove valuables daily.
• Vendors are responsible for damage caused by themselves, their staff or their equipment.
• Nothing in these terms excludes responsibility that cannot lawfully be excluded.

8. Vendor Cancellation

• Vendor cancellations and no-shows are non-refundable, except where otherwise required by law.
• Replacement vendors or date changes require prior written approval and are subject to availability.
• The organiser does not guarantee visitor numbers, sales or profit.

9. Event Changes or Cancellation

• The organiser may make reasonable changes to the layout or arrangements and will notify affected vendors promptly.
• If an event date is cancelled by the organiser, vendors will be offered a replacement date or a refund of the fee attributable to the cancelled date.
• If postponed, vendors unable to attend the replacement date may request a refund for the affected booking.
• Vendors remain responsible for their own travel, accommodation and other incidental expenses.

10. Photography & Promotion

The organiser may photograph or film booths for event publicity. Vendors should notify the organiser before the event of any specific photography concerns.

11. Breach of Terms

The organiser may require a vendor to correct a breach or remove prohibited products. Serious or repeated breaches may result in removal from the event. Any refund will depend on the circumstances and applicable requirements.
